Writing an RFQ that gets real quotes

How to brief specs, MOQ, certs and lead time so factories can quote accurately the first time.

Describe the product and use

Provide intended use, drawing revision, materials, dimensions, tolerances, performance and target market. List open questions and ask suppliers to identify assumptions.

State quantities and timing

Separate sample, initial and repeat volumes. Request quantity breaks and minimum order quantities. Specify destination, desired dates, packaging and separately priced transport.

Standardize the quote format

Break out unit price, tooling, samples, packaging and one-time charges. Require currency, validity, payment terms and the starting point for lead time. List deviations separately.

Attach acceptance requirements

Include sample approval, inspection items, document requirements and response deadline. Ask for an item-by-item response and preserve attachment revisions and written clarifications.
